Terms of Service

Effective date: 19 June 2026 · Applies to the QuellPod app and booking platform

Please read these terms carefully before creating an account or making a booking. By using the QuellPod app you agree to be bound by them. If you do not agree, please do not use the service. Questions? Email us at enquiries@quellpod.com.

1. Who we are

QuellPod Ltd ("QuellPod", "we", "us") is a company incorporated in England and Wales. We operate the QuellPod application — a platform that lets users locate, book, and access soundproof workspace pods at participating locations across the UK.

These terms form a legally binding agreement between you and QuellPod Ltd. They cover your use of the QuellPod mobile and web app, including making bookings, creating an account, and (where applicable) listing your own pods as a partner.

2. Your account

To make a booking you must create a QuellPod account using a valid email address or a supported third-party sign-in method (currently Google). You must:

provide accurate information when registering and keep it up to date;
keep your login credentials secure and not share them with anyone else;
notify us immediately at enquiries@quellpod.com if you suspect unauthorised access to your account.

You are responsible for all activity that occurs under your account. QuellPod reserves the right to suspend or terminate accounts that violate these terms or that are used fraudulently.

3. Making a booking

When you select a pod, date, time, and duration in the app and complete payment, you are making an offer to purchase that session. A booking is confirmed when we send your confirmation email containing the door access code. That email constitutes our acceptance of your offer and the formation of a contract between you and QuellPod for that session.

By booking you agree to:

use the pod only during your booked window;
leave the pod promptly when your session ends so it is available for the next user;
treat the pod and any fixtures or equipment with reasonable care;
not use the pod for any unlawful purpose or in any way that could cause damage or nuisance to the location or other users.

4. Pricing and payment

All prices displayed in the app are in pounds sterling and inclusive of VAT where applicable. The price shown when you select a slot is the price you will be charged — we will not increase the price after you have started the checkout process.

Payment is processed by Stripe, Inc. on our behalf. By entering your payment details you are also agreeing to Stripe's terms of service. QuellPod does not store your card details.

Your card or payment method will be charged at the point of booking. We reserve the right to amend our pricing at any time, but changes will not affect bookings already confirmed.

5. Cancellations and refunds

QuellPod does not currently offer a self-service cancellation or refund mechanism in the app. If you need to cancel a confirmed booking, please contact us as soon as possible at enquiries@quellpod.com. We will consider refund requests made before the start of the booked session on a case-by-case basis.

If a pod is unavailable at the time of your booking due to a fault or error on our part, we will offer you a full refund or an alternative slot of equivalent value.

Your statutory consumer rights under the Consumer Rights Act 2015 and any other applicable UK consumer protection legislation are not affected by anything in these terms.

6. Access codes

The door access code sent in your confirmation email is personal to you and valid only for your booked session window. You must not share it with others or attempt to use it outside your booked time. Access codes expire automatically at the end of the booked session.

If you do not receive your access code, please check your spam folder and then contact us at enquiries@quellpod.com.

7. Acceptable use

QuellPod pods are provided for legitimate professional use — calls, meetings, focused work, and similar activities. You must not use a pod:

for any illegal purpose or in violation of any applicable law or regulation;
to store, transmit, or display content that is unlawful, harmful, threatening, abusive, defamatory, or otherwise objectionable;
in a way that damages or interferes with the pod's equipment or the location in which it is situated;
to allow access to any person who has not made a valid booking for that session;
for any purpose that would invalidate the pod location's insurance or violate the terms of any applicable site licence.

We reserve the right to suspend your account and pursue appropriate remedies if we have reasonable grounds to believe you have breached this section.

8. Partner listings

If you list a pod on the QuellPod platform as a partner ("Partner"), additional terms apply to you alongside these general terms:

You represent that you have the right to make the listed space available for commercial use, including any necessary permissions from landlords, local authorities, or other relevant parties.
You are responsible for ensuring your pod is soundproof to a standard reasonably fit for professional use and that any equipment in or associated with it is safe.
You must set up and maintain a valid Stripe Connect account to receive payouts. QuellPod will deduct the agreed commission from each completed booking before transferring the remainder to your account.
Your pod will only be made available to customers once QuellPod has reviewed and approved your application and confirmed that your access control setup is working correctly.
QuellPod reserves the right to suspend or remove a Partner listing at any time if, in our reasonable opinion, the pod does not meet the standards set out in these terms or poses a risk to users.
QuellPod acts as a disclosed agent of the Partner in collecting payment from customers. The contract for each pod session is between the customer and QuellPod, with QuellPod acting on behalf of the Partner in respect of the space.

9. Intellectual property

All content in the QuellPod app — including the QuellPod name, logo, design, copy, and software — is owned by or licensed to QuellPod Ltd. You may not reproduce, distribute, or create derivative works from any of it without our written permission.

Nothing in these terms transfers any intellectual property rights to you.

10. Limitation of liability

To the fullest extent permitted by English law:

QuellPod's total liability to you in connection with any claim arising out of or related to these terms or your use of the service will not exceed the amount you paid for the booking to which the claim relates.
QuellPod will not be liable for any indirect, consequential, special, or punitive loss or damage, including loss of profits, loss of data, or loss of business opportunity.
QuellPod is not responsible for loss or damage to your personal belongings while you are using a pod.
QuellPod is not liable for any failure or delay in performance caused by events outside our reasonable control.

Nothing in these terms limits or excludes our liability for death or personal injury caused by our negligence, for fraud or fraudulent misrepresentation, or for any other liability that cannot be limited or excluded under English law.

11. Availability

We aim to keep the QuellPod app available at all times but do not guarantee uninterrupted access. We may take the service offline for maintenance, updates, or reasons outside our control. Where a planned outage affects an existing confirmed booking, we will notify you and offer a refund or alternative slot.

12. Changes to these terms

We may update these terms from time to time. If we make a material change — such as altering the cancellation policy, commission structure, or limitation of liability — we will give you at least 14 days' notice by email before the change takes effect. Continued use of the app after the notice period constitutes acceptance of the updated terms. If you do not agree to the updated terms, you may close your account at any time by contacting us.

13. Governing law and disputes

These terms are governed by the law of England and Wales. Any dispute that cannot be resolved informally will be subject to the exclusive jurisdiction of the courts of England and Wales.
